What is the digitisation of an employment record book?

Digitisation of the employment record book - is the conversion of paper data into electronic format by scanning all pages. The information is stored in the register of the Pension Fund of Ukraine and is used to confirm the insurance period.

This procedure is necessary to preserve the data and simplify the pension application process in the future.

Digitisation of employment records in Ukraine to be completed until 10 June 2026.

Experts advise not to postpone the procedure to avoid possible problems with confirmation of seniority, especially for old periods of work.


Will seniority disappear without an electronic copy

It is important to understand: the absence of an electronic employment record book does not mean loss of seniority.

  • length of service before 2004 is confirmed by paper documents
  • service record after 2004 is automatically kept in the state register

However, without digitisation, it will be much more difficult to confirm seniority in case of loss of a paper book.


Who should digitise documents

Formally, digitisation is supposed to be the responsibility of employers, but in practice it is not always done.

Therefore, every employee should:

  • check for an electronic copy
  • if necessary, submit documents independently through the Pension Fund portal
